How we handle your information when you visit our website or work with OmniVa.

Your information, in context.

Our work starts with a conversation. This policy explains the information involved in enquiries, quotations and business relationships, who may receive it, and the choices available to you.

01About this policy

This Privacy Policy explains how OmniVa (“we”, “us” or “our”) handles personal information in connection with omnivapipe.com, business enquiries, quotation requests and our industrial valve and flow-control sourcing services.

OmniVa is based in China and works with business customers and manufacturing partners internationally. This policy applies to information about individuals, including people acting on behalf of a company. For questions about how we handle your information, use the contact details in section 12.

02Information we collect

The information we receive depends on how you interact with us:

  • Enquiries and contact details: your name, email address, telephone or WhatsApp number, company, job role and the messages you send us.
  • Project and quotation information: product selections, specifications, quantities, delivery destination, drawings, attachments and other details you choose to provide. Technical documents may also contain personal contact details.
  • Business transactions: where an order proceeds, billing and delivery details, correspondence, order records and payment or accounting references needed to administer the transaction.
  • Website and device information: IP address, browser and device details, requested pages, referral information, timestamps and diagnostic or security logs. Website cookies may also record session and visit-source information, as explained in section 6.

We receive information directly from you, from your colleagues or authorised business representatives, and through the website and service providers that support it. Please share only information relevant to your enquiry. Do not send passwords, full payment-card details or sensitive personal information through enquiry forms or messaging channels.

03How we use information

  • Respond to enquiries, clarify specifications and prepare quotations.
  • Identify suitable products and coordinate technical questions with manufacturing partners.
  • Manage orders, inspections, shipping, documentation and after-sales support where applicable.
  • Maintain business correspondence, accounting records and evidence of transactions.
  • Operate, troubleshoot and protect the website, prevent misuse and understand how enquiries reach us.
  • Comply with legal requirements and establish, exercise or defend legal claims.

Enquiry replies and project updates relate to your request. Promotional communications, if sent, are handled in accordance with applicable law; you can ask us to stop them at any time.

04Reasons for processing

Where applicable data-protection law requires a legal basis, we rely on the basis relevant to the activity:

  • Steps towards a contract or performance of a contract: when you request a quotation or engage our services in your own capacity.
  • Legitimate interests: communicating with business representatives, managing supplier and customer relationships, maintaining records, and protecting and improving our services, subject to your rights and interests.
  • Legal obligations: for records and disclosures required by applicable law.
  • Consent: where required for particular communications or optional technologies. You may withdraw consent without affecting processing that took place before withdrawal.

If you choose not to provide contact details or essential project information, we may be unable to respond or prepare a suitable quotation.

05Who may receive information

We do not sell or rent personal information. We share relevant information when needed to provide our services or meet legal requirements:

  • Manufacturing and technical partners: specifications and the business contact details needed to assess or fulfil a request.
  • Operational providers: website hosting, email, IT support and other providers involved in handling business communications and maintaining the website.
  • Transaction partners: logistics, inspection, customs, banking or payment providers where relevant to an order.
  • Professional advisers and authorities: where necessary for advice, legal obligations, dispute resolution or protection against fraud.

The information shared depends on the recipient’s role and the requirements of your project. WhatsApp and social-media providers also process information under their own policies when you use their services.

06Cookies and website technologies

The website uses WordPress and WooCommerce technology. Depending on the features you use, cookies or similar storage can support sessions, account access, product selections and other website functions.

WooCommerce visit-attribution functionality can also record how a visitor arrived, such as a referring website or campaign, and information about visits. These records can be associated with a transaction where that functionality is used. They are separate from information you type into an enquiry form.

You can inspect, delete or block cookies through your browser settings. Blocking functional cookies may affect some features. Where applicable law requires consent for non-essential cookies or similar technologies, those technologies require a separate consent mechanism; visiting this page does not constitute consent. Browser cookie settings do not prevent information necessary for ordinary website requests from reaching the hosting server.

07International processing

Because OmniVa operates from China and serves international customers, information you provide may be accessed or processed in China and in countries where our relevant service providers or business partners operate. Those countries may have different data-protection laws from your country.

Where applicable law requires safeguards for an international transfer, we use the safeguards required for that transfer, which may include contractual protections or another legally permitted transfer arrangement. Contact us if you need information about transfers relevant to your enquiry.

08How long we keep information

We keep personal information for as long as reasonably needed for the purpose for which it was collected. The period depends on whether an enquiry remains active, whether it leads to an order, the duration of the business relationship, and applicable accounting, tax, legal or dispute-related requirements.

Enquiry correspondence, order records and technical logs may therefore have different retention periods. Records may be retained longer when needed for an ongoing dispute or legal obligation. You may contact us to ask about the retention of information relating to you or to request deletion, subject to applicable requirements.

09Protecting information

We use technical and organisational measures intended to reduce unauthorised access, loss, misuse or disclosure of personal information. However, no website, communication channel or storage system can be guaranteed completely secure.

Our services are intended for business use and are not directed at children. If you believe a child has provided personal information to us, please contact us so that we can address it.

10Your choices and rights

Depending on your location and the law that applies, you may have the right to:

  • Ask whether we hold information about you and request access or a copy.
  • Correct inaccurate or incomplete information.
  • Request deletion or restriction of processing in relevant circumstances.
  • Object to certain processing, including direct marketing.
  • Receive or transfer information where a right to data portability applies.
  • Withdraw consent where processing relies on it.
  • Raise a concern with the data-protection authority competent for your location.

Use the contact options below and describe the information or request concerned. We may need to verify your identity or authority before responding. Rights are subject to applicable conditions and exceptions, including records we are legally required to retain. We will handle requests within the time limits required by applicable law.

11External services and policy changes

Links to WhatsApp, Facebook, Instagram, TikTok, LinkedIn and other external services take you to services operated by third parties. Their own privacy policies govern information they collect. A link does not mean that those services receive the contents of an OmniVa enquiry form.

We may update this policy when our services, practices or legal requirements change. The current version will appear on this page with an updated date. Where required, we will provide additional notice of material changes.

12Contact us about privacy

For a privacy question or to exercise your rights, contact OmniVa through our contact form or WhatsApp. Start your message with “Privacy request” so that we can identify its purpose, and include enough detail to locate the relevant correspondence.
